How to Successfully Onboard New Temporary Employees

While many businesses work diligently to create a process for bringing on new permanent employees, many companies neglect to take the same care with their temporary employees.  In order to set your temporary employees up for the same level of success as your permanent ones, consider these tips to get your onboarding process in shape.

Formalize the Process

The process for onboarding a temporary employee should be as formalized as any other hiring process.  Use it as a way to guarantee certain key information is conveyed from the beginning, and any mandatory tasks are handled in a timely fashion.  It also ensures that temporary employees are properly introduced to the business, its facilities, and key team members by making it a formal step in the procedure.

Complete Select Tasks Before the Start Date

Make sure that the temporary employee is going to have access to all of the systems, equipment, or tools necessary to complete the job successfully by arranging as much as possible in advance.  If they will need login credentials, a security badge, or a code to use the copier, make sure those have been created and are ready to go, or include the steps necessary to complete these key tasks in the formal onboarding process for the temporary employee’s first day.

Identify the Main Supervisor

If the temporary employee will be working directly under a particular employee’s guidance, take the time to formally introduce them to each other.  As part of the introduction, clarify precisely what the temporary employee should expect from the supervising employee by defining the supervising employee’s role in regards to the management of the temporary employee.  By defining the relationship and responsibilities, you help clarify how the two should work together, as well as your expectations regarding how the positions will interact.

Clearly Communicate Goals and Expectations

Regardless of how long the temporary employee will be with you, it is important to clearly state any goals or expectations that you may have regarding the position and the employee’s performance.  This can include information regarding the work schedule, when certain tasks must be completed or when various deliverables are due, as well as an overview of the temporary employee’s areas of responsibility.

Some businesses neglect to make their expectations as well known to employees who will only be with them a short time, which can lead to confusion on the part of the temporary employees and frustration on the part of the business who feels the position is not being managed properly.

Check In Regularly

A regular check-in helps ensure everyone is still operating on the same page, especially if there is a chance the temporary employee may have questions or if the position may come with some downtime.  Not only will this help you monitor their performance, but it will give you an opportunity to adjust the position, if necessary.

For example, while a regular employee may have a series of other duties that can be performed in cases where their primary function is experiencing some downtime, a temporary employee may not have a feel for what they should do beyond specifically assigned tasks.  If a temporary employee finishes certain assignments more quickly than originally anticipated, the check-in can serve as an opportunity to discuss any other needs that may be well-served by the position in which the temporary employee is working.
